Job Description:
As an Office Administrator, you will play a crucial role in ensuring the smooth and efficient operation of our clients office. You will provide comprehensive administrative support to various departments, ensuring that daily tasks are completed accurately and on time. Your exceptional organisational skills and attention to detail will be essential in managing paperwork, scheduling appointments, and maintaining office supplies. Your role will be diverse and challenging, and you will have the opportunity to contribute to the overall success of the organisation.
Responsibilities:
Purchasing
Ordering of equipment to ensure installation schedules are complied with.
Assisting in maintaining adequate stock levels.
Assist in Maintaining and monitoring the purchasing system and databaseTo administer or assist with the following:
Check and Audit Project and Site files to ISO standards and maintain them.Accounts
Produce Sales invoices.
Assist with post project cost reports and project reconciliationSales
Receive and record orders from the Sales Department or direct from clients.
Produce Project files with documentation provided from the Sales Department.
Monitor status of live project files.Stores:
Receiving purchased goods into the company by confirming the quality and quantity against orders and updating the stock system
Issuing stock to Projects and dispatch
Assisting with the planning and execution of stock take with minimum disruptionThe role will also involve:
Assist in loading and unloading goods
Follow process to ensure product traceability
Maintaining a clean and efficient layout for the effective and safe performance of the Stores area.
Answering telephone, dealing with enquires / queries and other general admin tasks
Liaising with other departments
Professional attitude when dealing with suppliersRequirements:
A valid driver's license and access to a car for commuting to their office location in the outskirts of Edinburgh.
Proven experience as an office administrator, administrative assistant, or similar role.
Excellent organisational and time management skills.
Strong attention to detail and accuracy.
Proficient in using office software (e.g., Microsoft Office Suite).
Excellent communication and interpersonal skills.
Ability to prioritise tasks and meet deadlines in a fast-paced environment.Benefits:
