Job Title: Administrator (Maternity Contract)

Location: West Edinburgh (you will need your own transport to get to the location)

Remuneration: £25,000 - £27,000 per annum D.O.E

Contract Details: Fixed Term Contract, 12 months

Key Responsibilities:

Respond to Client Requests: Quickly react to client 'call outs' and log them accurately into the system, capturing all essential details.
Client Support: Coordinate follow-up visits and manage equipment needs, ensuring clients receive detailed service reports.
Data Reporting: Generate monthly client reports, using Excel to create clear and visually appealing line and bar charts.
Contract Management: Keep our contract list up-to-date and organised for easy reference.
Compliance Reporting: Prepare and execute monthly compliance reports with precision.
Weekly Updates: Provide weekly reports on invoicing status, attended calls, and invoicing activities.
Invoicing Management: Ensure all chargeable call outs are invoiced, followed up, and payments are proactively managed.
Stock Coordination: Oversee vehicle stock levels, work with engineers for returns or replacements, and maintain spare stock.
Team Collaboration: Attend planning meetings to liaise with installation teams and ensure seamless project execution.
Engineer Training: Book and coordinate training for engineers, keeping thorough records of all certifications.
Schedule Management: Maintain the call-out rota, ensuring effective coverage and managing the escalation process when needed.
Quote Requests: Handle quote requests swiftly and accurately, supporting the sales process.SKILLS/EXPERIENCE REQUIRED:

Proven work experience as an Administrator
Strong organisational skills, including multitasking, time management, and diary coordination
Ability to work independently and collaboratively within a team
Proficiency in MS Office
